November 15, 2021 Booster Meeting

BACHMAN TOURNAMENT

Concessions (Karlene):

  • Everything went great
  • Modified menu was great
  • Berry Blendz: not a good experience with them-
  • very expensive
  • tip easily and get wasted
  • we buy them for $3, sell them for $5
  • we had an excessive amount left over
MMS:

The distance from the gym to the concessions was far (people were overheard coming out of the gym saying – “where should we go to eat?”)

We should put a menu near the gym to alert people that concessions are available

Games were moved ahead and when people left to eat, they often were late in getting back in time for the beginning of the match (this could be a selling point to staying at MMS to eat)

The 10 tables available to us were very helpful and all of them were used

It was helpful to have different start times for MMS and LNHS

A later start time (i.e. 9:00 am vs 7 or 8 am) was helpful in getting concessions set up

The GroupMe was helpful, but key players (i.e. Concessions Director was unintentionally left off)

-Would be helpful in protocol if you first contacted people within your bldg vs alerting everyone

-We were able to sell our Gatorade and candy to LN Girls Volleyball

Quantity: We ran out of baked potatoes on Friday night around 7:30 pm

Coaches were under the impression that they would receive a meal, a snack, etc and often this totaled to over $10

There happened to be additional refrigerators which was helpful

It would be nice to have beverages in a separate location, so it doesn’t bog down the line (for people just waiting for beverages)

There was enough space at MMS in cafeteria that they would have been able to accommodate teams (vs being in the hallways)

The door on the North side of the school (at MMS) was not open on the 2nd day and this was kind of a pain

Would have been nice to use the entrance on the East side of the building

Idea: serve breakfast sandwiches all day

The trainer was getting irritated at us coming in to get ice all the time

2021: $5800 profit for Concessions

We need to pay for trainers at tournaments

The trainer at MMS was double booked – we need to make sure we do not pay for a trainer at this site for Bachman this year

Hospitality (Kristi Peterson)

Do we just want to do an entrée for coaches or have food in the room?

The “fast track” concept worked well for referees and coaches to go through first

We will increase our communication with officials next year

We did not receive any complaints

The Hospitality Room at LNHS was not too inviting and required many large items being removed (i.e. ladders)

Electronic Scoring (Matt C)

Once the wifi was figured out, the electronic results went well

Volunteers (Pam Dahl)

We were 96% full for Volunteers

Some of the 9A, 9B, 10A girls filled in some of the volunteer spots that were unfilled

There were too many people in the concessions, maybe increase the runners, instead

Remove the Asst Coordinator position

Split the long, all day shift to 2 half day (4 hour) shifts

Idea: Assign a specific tournament lead/coordinator position to a specific team at the Kickoff Picnic so that these positions will get filled

Assign/Designate one specific person to do the cashbox (i.e. must be 18 years or older) and some do not feel comfortable doing this

Idea: volunteer QR codes will be handed out at kickoff meeting – but you only have access to the tournament your team is assigned to work

Volunteer Floater to be on call to fill in extra players who do not have a role/job

Banquet (Jen Zweber)
  • We can enter at 2:00 pm on Sunday
  • We have easels to set up
  • Crystal Lake Golf Course said we are rock stars at being proactive and getting everything in that is needed – way to go, Lori!
